Privacy policy

The small print follows, but the bottom line is that we respect our customers and their privacy. We will never bother you unduly with multiple messages and we will never sell or rent your personal information to a third party. We value your custom, hope that you will continue to enjoy our books and that we can continue to send you news about new books or reprints that we think will interest you.

Veloce Publishing places great importance on protecting and respecting your privacy, and maintaining the good relationships we have built up during our years of operation. The following Privacy Policy describes the privacy practices we currently apply through our websites and the social media platforms we use, information received through the mail, email, via telephone or in person, and any other service that directly links to this policy.

Veloce Publishing reserves the right to modify and amend the terms of our Privacy Policy as circumstances change, and without notice. By continuing to use the services listed after such an amendment to the Privacy Policy, you are agreeing to any updated terms contained within those changes. What information is collected, and why?

Information you give us:

From time to time, you may be asked to provide us with personal information when interacting with Veloce Publishing services. For example, when you:

  • Contact us about products and services
  • Purchase a product through our website
  • Sign up to our mailing lists
  • Participate in surveys, competitions or special promotions
  • Request a notification when one of our products comes into stock

Depending on the reason you are contacting us, this information is likely to include your name, email address and telephone number, as well as delivery address, billing address, credit card details or bank details for orders. It may also include information such as your areas of interest to improve how we undertake marketing.

Information we collect about you from our websites:

You may also provide personal information indirectly through the use of our websites. Like many other websites, we automatically collect the following information:

  • The time of the first visit, your previous visit, and your current visit, as well as the length of your current visit
  • Whether you arrived on the website from a search engine, a link, or from no previous page
  • The timezone in which you are located

Why do we collect this information?

We use the information you provide us with and that we collect about you in order to facilitate and improve our services to you. We may also use the information in the following ways:

  • Providing you with the products and services you request
  • Communicating with you regarding your purchases or inquiries with us and third parties, whether by email or another medium
  • Communicating with you regarding changes to our policies
  • Sending you emails containing newsletters, information on new products, and offers and promotions for our products and services
  • Administering competitions, promotions and surveys
  • Improving and amending our products, services and operations
  • Detecting, investigating and preventing activities that may violate our policies or be illegal

Data protection law requires us to rely on one or more lawful bases to process your personal information for any reason. When considering the uses already detailed, the following grounds are relevant:

Consent
Where you have provided specific consent to Veloce Publishing to allow us to use your personal information in a clear and specific purpose. For example, sending you email newsletters and marketing.

Contract
Where the use of your personal information is required for us to fulfil a contract we have entered into with you, or where you have requested us to take specific steps prior to a contract. For example, when you purchase a product from us, and we require your information to be able to provide you with said product.

Legal obligation
Where the use of your personal information is necessary so that we are able to comply with a legal or regulatory obligation that we are subject to, outside of those obligations already detailed in the 'Contract' basis. For example, in the eventuality that we are ordered to provide the data by a court or regulatory body.

Legitimate interests
Where the processing of your personal information is necessary to achieve the legitimate interests of ourselves or a third party, so long as the information is used fairly and does not duly impact your rights as an individual, or where there is a good reason to protect your personal information that overrides these interests.

When processing your information in this way, we make sure to consider and weigh any potential impact these uses may have on you – both positive and negative – and your rights under data protection laws. Your personal information will not be used in circumstances where our interests are overridden by this impact on you, unless required or otherwise permitted by law.

In instances where we use particularly sensitive personal information, we require an additional special condition in order to do so under data protection laws. In such cases, we will either do so on the basis of your explicit consent, or through another route available to us by law (for example, if it is required to process information for employment, social security or social protection purposes).

How is your information shared, and who with?

Other than the details disclosed within this Privacy Policy, we do not use or disclose your personal information to any company outside of Veloce Publishing Ltd. Under no circumstances will any of your information ever be sold or rented as part of a customer list or similar without first receiving your express permission. We may use information within aggregated and anonymised data sets that are no longer personally identifiable, and share this with third parties for their own use. In such cases the data will always be in a form that no longer contains your personal information.

Third party service providers

We use a number of third party service providers that perform various functions on our behalf, including hosting, payment processing, analytics, marketing, etc. These parties have access to your personal information only as far as it is necessary for them to perform their functions, and they are under obligation to maintain the confidentiality and security of that personal information at all times. This extends to an obligation not to use, sell, distribute or alter this information in any way other than to provide their specific function to Veloce Publishing Ltd.

Third parties with whom we do business

We may share your personal information with certain third parties with whom we do business, such as our authors or distributors, so that they can respond to your queries or fulfil part of the order process to expedite the delivery of our products to you. While our Privacy Policy governs our use of your information, the third party will have its own Privacy Policy which will govern its use of this information. In circumstances where your details are passed on to an author, we will ask for your full consent before doing so, and take all reasonable action to instruct the author to use the personal information provided in a manner that is consistent with this Privacy Policy. Nonetheless, we cannot ensure that the author will abide by the same privacy practices that we describe here, and so such circumstances will no longer be subject to the terms of this Privacy Policy.

Other third parties

We may also share your personal information with third parties when required to do so by law, or in an emergency situation. This will only take place in situations where we believe in good faith that such action is required to conform to applicable law or comply with legal process served to us, or to protect and defend our rights or property, our users, or to protect the personal safety of us, our affiliates, agents, users, or the public.

Social media

Our websites may allow you to register, log into, ‘like’ or otherwise interact with third party social media services such as Facebook, Instagram, Twitter, Pinterest, YouTube and others. Depending on the interaction, these features may enable you to integrate or access your account through the use of our websites. We do not control these social media services or your profiles on these services, and we do not establish privacy settings or rules for how your personal information on these services will be used. Should you choose to use these features, any personal information that you have provided them will be subject to the respective company’s Privacy Policy, terms and conditions, and current privacy settings on that platform. By accessing any social media service, you will be assuming the risk that the personal information you provide on that service will be viewed and/or used by third parties for any purpose. By continuing to use our services you agree that we are not responsible for any acts or omissions on the part of these social media service providers.

How long do you store my data?

Your personal information will be stored with us for as long as it is required to achieve the purpose for which we process it. Depending on the type of data in question, and the purpose for which it is being processed, this period of time can vary substantially. We will regularly review and assess personal data, and look to delete it once it is no longer required, as well as reviewing the retention periods themselves. We may also retain your data for an additional amount of time past the point where we have completed the purpose for which your information was processed, in order to comply with legal requirements regarding documentation of records, or where it is felt that there is the risk that the information may be required to act as supporting evidence in a case of legal action. You have a number of rights surrounding the use and storage of your information, which are covered in greater detail in the ‘Your Rights’ section later in this Privacy Policy.

How is my data stored?

When you provide us with your personal information, we take measures to make sure that appropriate security is in place to protect it, both physically and digitally. However, no data storage or transmission, over the internet or by other means, is guaranteed to be secure, and so we cannot ensure the security of any information provided to us. By sending us your personal information, you agree that you understand that you are doing so at your own risk. Once we have received the information, we place your information within appropriate security levels depending on the sensitivity of the information and the purpose for which it is intended.

Children 16 or under

We are committed to protecting the privacy of children aged 16 or under. If you are aged 16 or under, please get your parent/guardian’s permission before providing us with any personal information. We do not knowingly collect, use or disclose personal information from children under the age of 16 without prior parental consent.

Your rights

Under GDPR, individuals are afforded the following rights:

Right to be informed

You have the right to be informed about the collection and use of your personal data, including the retention periods of that data, and who it will be shared with. This must be conveyed in clear, concise and transparent language, and should be easily accessible.

Right of access

You have the right to request access to the personal data we hold about you. This request can be made verbally or in writing, and we must respond to you within one calendar month. Barring exceptional circumstances, you cannot be charged a fee for this service.

Right to rectification

You have the right to have inaccurate personal data rectified, or completed if incomplete. You can request this verbally or in writing, and we must respond to your request within one calendar month.

Right to erasure

You have the right to request that your personal data is erased from our records. You can make this request verbally or in writing, and we must respond to your request within one calendar month. This right is not absolute, and only applies in certain circumstances.

Right to restrict processing

You have the right to request the restriction or suppression of your personal data. This is not an absolute right, and only applies in certain circumstances. When processing is restricted, we are only allowed to store the information, but not use it. You can make this request verbally or in writing, and we have one calendar month in which to respond to your request.

Right to data portability

You have the right to request that your data is moved, copied, or transferred between different services in a safe and secure way, without affecting its usability. This only applies to information that you have provided to us.

Right to object

You have the right to object to the processing of your personal data in certain circumstances. You have the absolute right to stop your data being used for direct marketing. In some cases where the right to object applies, we may still be able to continue processing your data, if we are able to show a compelling reason to do so. You can make an objection verbally or in writing, and we must respond to your objection within one calendar month.

Use of cookies

Veloce Publishing may place, view, and/or use cookies to collect information about your use of our websites. This information, as previously detailed, includes information about the amount of times you've visited the website, the dates and times of your previous and current visit, and the length of your current visit. It also includes information on how you arrived on the website, and the timezone in which you are located.

A 'cookie' is a small text file stored locally on your computer when you visit certain webpages. The majority of modern web browsers automatically accept cookies, but if you prefer that they not be used, you can usually modify the settings of your browser to decline cookies, either for all websites or on a site-by-site basis. Account security

By continuing to use Veloce Publishing services that require you to log into an account, you are agreeing to take on responsibility for the secure storage of your account details and password as the user of the account. Should you have reason to believe that any of these details have been compromised in any way, you agree that you will immediately notify Veloce Publishing at the email address or phone number listed in the introduction of this Privacy Policy. Any failure to do so will render you responsible for any misuse or further compromise of your account.

Should Veloce Publishing have reason to believe that your account has suffered any security violations, we retain the right to suspend all access to the account pending further investigation. Similarly, you agree that we have the right to cooperate fully with any governmental or legal investigation with regard to access to any aspect of our services. Any evidence that your account is being used to disseminate information about – or facilitate the sales of – pirated software, illegal products or information, or other violations of law, will result in your account being suspended and the infraction being reported to the appropriate authorities.
